PodMedia Network – Pre-Shooting Service Level Guidelines

At Podmedia Network, we are committed to delivering a seamless and professional experience for all our clients. To ensure high-quality production standards, the following guidelines must be followed before any podcast or event coverage shoot is scheduled.
1. Podcast Recordings at Podmedia Studios
For podcasts recorded at Podmedia’s own studios, the following process applies:
- Clients must clearly state all project requirements, including the desired studio setup, expected deliverables, specific deadlines, and any special technical or branding requirements.
- Based on the provided information, Podmedia will issue an official quotation.
- Clients must review and approve the quotation at least four (4) full business days before the scheduled shooting day.
- No studio slot, crew, or equipment will be reserved without formal quotation approval.
- Any last-minute minor changes to the project must be communicated via email at least 48 hours before the scheduled shoot.
- Changes requested less than 48 hours before the shoot are subject to feasibility and may not be guaranteed.
2. Event Coverage and External Location Shoots
For media coverage services or shooting at client locations or external events, the following process applies:
- Clients must clearly state all project requirements, including the exact date, time, location-specific constraints, desired technical setup, expected deliverables, and any special on-site requirements.
- Podmedia will issue a formal quotation based on the submitted information.
- Clients must review and approve the quotation at least four (4) full business days before the scheduled shooting day.
- This advance confirmation is critical to accommodate crew assignments, equipment transportation, and on-site logistics/technical setup.
- Approvals received late may incur additional rush fees or result in rescheduling based on team availability.
3. Cancellation & Rescheduling Policy
To safeguard booked resources, studio slots, and crew allocations, the following financial penalties apply to any project cancellations or major date reschedules once a quotation has been formally approved:
- Cancellations within 48 hours: If a shoot is cancelled or rescheduled within 48 hours of the scheduled shooting date, 50% of the total quotation value is non-refundable (or remains payable if invoice is pending).
- Cancellations within 24 hours: If a shoot is cancelled or rescheduled within 24 hours of the actual shooting date, 100% of the total quotation value is non-refundable and must be paid in full.
